Upload Documents
Choose how you want to upload documents
Individual files can be images or PDFs
Only PDF files with each page as a document
Smart receipt capture is how receipts get into Receiptflow in the first place: photographed on a phone, uploaded from a desktop, or forwarded by email. There is no single "correct" channel, every capture method feeds the same extraction and review process, so a practice never has to standardise how its clients submit paperwork before Receiptflow can use it.
A photo is enough
A receipt photographed on a phone, glare, slight angle, or a crumpled corner included, is enough to begin processing. There is no need for a flat scan or a specific lighting setup, and no separate scanning app to install first.
Upload from wherever the file already sits
PDFs and images already saved on a desktop or in a shared drive can be uploaded directly, useful for supplier invoices that never existed as a paper receipt at all, or for scanned documents a client has already digitised themselves.
Accepts up to 100 files of type image/* and application/pdf between 1.00KB and 10.00MB.
However clients send it, Receiptflow gets it ready to process immediately.
Every capture method lands in one place
Photo, upload, and email-in all feed the same processing queue, so the practice reviews receipts in a single dashboard regardless of how each one arrived. A client who mixes methods, a photo one week, an emailed invoice the next, never creates extra work on the practice side.
However it arrives, it lands in the same queue with the same fields.
Real-world receipts, not lab conditions
Most receipt tools are demonstrated on a flat, well-lit sample. Smart receipt capture is built around the receipts practices actually see: creased, partly faded, photographed at an angle in a moving car or a dim shop.
Creases, glare and faded thermal print are the normal case, not the exception.

Why capture flexibility matters for a practice
Clients do not all submit receipts the same way, and asking them to change habits is friction most practices cannot afford. Smart receipt capture removes the need to standardise: whichever method a client already uses, Receiptflow accepts it and treats it the same as every other receipt from that point on.
No client re-training
Clients keep using whichever method suits them, a photo from one, an emailed invoice from another, with no onboarding call needed to explain a new process.
No format gatekeeping
A slightly angled photo or a crumpled receipt is not rejected and sent back, it is captured as-is and processed from there.
No lost paperwork
A receipt captured the moment it is handed over does not sit in a pocket or a car door until it is faded or gone.
Practices juggling different client habits
The multi-client bookkeeper
Different clients, different habits, one capture method has to work for all of them without a separate process per client.
The practice onboarding new clients
New clients arrive with whatever habits they already have, capture flexibility means onboarding does not start with a behaviour change request.
The team working from anywhere
Team members capturing receipts on site, at a client visit, or from home all feed the same queue without extra coordination.
