Supplier Auto-Recognition

Once Receiptflow has seen a supplier before, it remembers them, filling in supplier details automatically so the same shop or vendor never has to be re-identified from scratch.

Supplier auto-recognition means Receiptflow does not treat every receipt from the same supplier as a fresh puzzle. The first time a supplier appears, Receiptflow reads its details from the receipt. Every time after that, it recognises the supplier and pre-fills what it already knows, leaving less for a reviewer to check.

The first receipt teaches Receiptflow the supplier

When a supplier appears for the first time, Receiptflow reads name, typical VAT treatment, and formatting from that receipt, and stores it against the supplier record, ready to reuse on the very next receipt from the same source.

Every repeat receipt is pre-filled

The next receipt from the same supplier arrives pre-matched, with supplier details already filled in, so a reviewer is checking a completed record rather than building one from nothing.

Remembers suppliers it has seen before and fills in their details.

Recognition works across your whole client base

A supplier recognised for one client is not re-learned for every other client separately, so the benefit compounds as more receipts pass through Receiptflow, and a supplier common across many clients, a fuel station chain, a national wholesaler, gets faster for everyone at once.

A wrong match is easy to fix, and stays fixed

If a supplier is matched incorrectly, correcting it in review updates the record so the same mistake does not repeat on the next receipt from that supplier.

The problem it removes

Why re-typing the same supplier gets old fast

A practice sees the same handful of suppliers over and over, the same coffee shop, the same fuel station, the same recurring software bill. Supplier auto-recognition means that repetition works in your favour instead of costing time on every single receipt.

Repeat spend, not repeat effort

The suppliers a client uses most often are exactly the ones Receiptflow learns fastest, since they appear most.

Consistent VAT treatment

A supplier's typical VAT handling is remembered too, reducing inconsistent treatment across receipts from the same source.

Less for reviewers to check

A pre-filled, previously verified supplier record needs a glance, not a full re-check, on every recurring receipt.

Who it's for

Practices with high receipt volume per client

Clients with frequent small spend

Fuel, parking, coffee, stationery, the same few suppliers appear constantly and are exactly where recognition saves the most time.

Practices serving similar client types

Clients in the same sector often share suppliers, so recognition learned from one client benefits others in the same trade.

Reviewers processing high volume

The more receipts a reviewer works through in a session, the more time pre-filled supplier matches save cumulatively.

FAQs

Questions about supplier auto-recognition

See how corrections improve accuracy over time in Smarter With Every Receipt, or how extraction itself works in Super Fast Data Extraction.

How many receipts does it take before a supplier is recognised?

Recognition starts from the second receipt for the same supplier. The first receipt establishes the supplier record, every one after that is matched against it.

Does supplier recognition work across different clients?

Yes, a supplier recognised once benefits every client whose receipts include that supplier, not just the client it was first seen from.

Can I correct a supplier match if it is wrong?

Yes, corrections are made in the review dashboard, and the correction improves future matching, see Smarter With Every Receipt.

What supplier details does Receiptflow remember?

Supplier name, typical VAT treatment, and formatting patterns are stored against the supplier record and reused on every subsequent receipt.

Does this replace the accountant review step?

No. Matched receipts still pass through the accountant review dashboard, recognition simply reduces how much needs checking on a repeat supplier.

What happens if a supplier changes its receipt format?

The supplier is still recognised by name and prior details, if the new format extracts differently, that is flagged for review like any other update to the record.

Does recognition slow down as more suppliers are added?

No, matching a supplier is not affected by how many other suppliers exist in the system, each match is independent.
